Learn How to Move Files Between Google Drive Accounts

Understanding Google Drive Account Structure and Ownership

Google Drive functions as a cloud storage system tied directly to your Google Account. When you create a Google Account, Google automatically provides you with 15 gigabytes of free storage space in Google Drive. This storage remains connected to that specific account and contains all your files, folders, photos, and documents. Understanding this structure is essential before moving files between accounts because files in Google Drive are owned by and associated with the account that created or uploaded them.

Each Google Account operates independently. If you have multiple Google Accounts—perhaps one for work, one for personal use, and another for a business—each account maintains its own separate Drive storage space. The files stored in your work account's Drive cannot be directly transferred through an automatic system; instead, you must manually move them using specific methods that Google provides. This separation exists for security and privacy reasons, ensuring that files remain under the control of their respective account owners.

Ownership and permission settings play a critical role in this process. When you own a file in Google Drive, you control who can view, comment on, or edit that file. If someone else owns a file and has shared it with you, you can access it but cannot move it to your own account's Drive storage without taking specific steps. Recognizing the difference between files you own and files others have shared with you helps you understand what moves are possible and what approaches you'll need to use.

Google Drive files include documents created in Google Docs, Sheets, Slides, Forms, and other Google applications, as well as files you've uploaded like PDFs, images, videos, and Microsoft Office documents. Different file types may require slightly different approaches when moving between accounts. Understanding what you're working with makes the transfer process more straightforward.

Practical Takeaway: Before attempting any file transfer, identify which Google Account owns each file you want to move and whether you have full ownership or shared access. This determines which transfer method will work best for your situation.

Method One: Sharing and Re-uploading Files

The most straightforward method for moving files between Google Drive accounts involves sharing files from your original account and then saving them to your new account. This method works particularly well for files that aren't frequently updated and don't require you to maintain a specific folder structure. Start by opening Google Drive on the account that currently contains your files. Locate the file or folder you want to move, right-click on it, and select "Share" from the menu that appears.

When you share a file, a dialog box opens where you can enter the email address of your second Google Account. Set the sharing permission to "Editor" so that your second account has full editing access. Once you've sent the sharing invitation, switch to your second Google Account and check your email for the sharing notification. Open the shared file directly from the email link or find it in the "Shared with me" section of Google Drive.

For Google's native file formats—such as Google Docs, Sheets, and Slides—you can use the "File" menu and select "Make a copy" to create an independent version in your second account. This creates a new file owned by your second account that contains the same content as the original. The copy becomes a separate file, so any changes you make to it won't affect the original file in your first account.

For other file types like PDFs, images, or Microsoft Office documents, the process differs slightly. After accessing the shared file in your second account, you can download it to your computer and then re-upload it to your second account's Google Drive. This ensures the file is fully owned by your second account rather than simply shared with it. While this method involves extra steps, it guarantees complete ownership transfer.

Practical Takeaway: Use the sharing and copying method for files you want to transfer individually. For Google's native formats, use "Make a copy." For other file types, download and re-upload to establish full ownership in your new account.

Method Two: Using Google Takeout for Bulk Transfers

Google Takeout provides a way to export all data from your Google Account at once, creating a downloadable file containing copies of your Drive files and other Google service data. This method works well when you want to transfer a large number of files or your entire Drive at once. To begin, visit the Google Takeout website (takeout.google.com) while logged into the account containing the files you want to move. Google Takeout allows you to select which data to export—for moving Drive files, you'll focus on the Google Drive section.

The interface shows checkboxes for different Google services. Uncheck all services except "Google Drive" to focus only on your Drive files. You can then choose whether to export all Drive files or select specific folders. This flexibility lets you decide whether you're transferring your entire Drive or moving only certain files. Google Takeout will prepare a compressed file containing all your selected Drive files while maintaining the folder structure you created.

After you've selected your files and clicked "Create export," Google will prepare your data for download. Depending on the volume of files, this may take several hours or even days. Google will send you an email when your export is ready to download. The downloaded file will be compressed (usually in .zip or .tar.gz format), meaning it's smaller for transfer but must be extracted before you can access the individual files inside.

Once you've downloaded and extracted the file on your computer, you'll see your files organized in folders. You then need to upload these files to your second Google Account's Drive. You can do this by logging into the second account, opening Google Drive, and dragging and dropping the folders and files into the Drive window. Alternatively, you can click the "New" button, select "File upload" or "Folder upload," and navigate to the files on your computer. This method transfers file content but means you're uploading them as new files owned by your second account.

Practical Takeaway: Google Takeout works well for transferring large numbers of files or your entire Drive. Plan for processing time (hours or days), extract the downloaded file on your computer, and then upload the contents to your second account.

Method Three: Transferring Ownership Within Your Organization

If both your Google Accounts are part of the same organization or Google Workspace domain, your organization's administrator may have tools available for transferring file ownership directly. This method differs significantly from personal Google Accounts because organizational accounts operate under different rules and have additional administrative capabilities. Check with your organization's IT department or administrator to understand whether this option is available to you.

In some organizational settings, administrators can use the Google Admin console to transfer files from one account to another without the user needing to manually move them. This streamlines the process considerably and is particularly useful when an employee leaves a company and their files need to transfer to another team member or manager. The administrator can access tools that identify all files owned by a specific account and reassign ownership to a new account.

If you're working within an organization, another common approach involves adding your second account as a manager of your first account's Drive files. Your organization's Google Workspace administrator can set up delegation where your second account gains access to manage your first account's files. This doesn't technically move the files, but it gives both accounts the ability to manage the same files, which may accomplish your goal of consolidating access.

For personal Google Accounts with no organizational affiliation, this method isn't available, and you'll need to use the sharing, copying, or Google Takeout methods instead. Understanding whether your accounts qualify for organizational transfer options saves you time by directing you toward the most efficient path available to you.

Practical Takeaway: If your accounts belong to a Google Workspace organization, contact your administrator about direct ownership transfer options. For personal accounts, use the other methods described in this guide.

Handling Shared Files and Collaborative Documents

Files that you've shared with other people or that are part of collaborative projects require special consideration when moving between accounts. If you own a shared Google Doc, Sheet, or Slide, the sharing permissions remain with that file. Simply moving the file to your new account doesn't automatically transfer those permissions, so you'll need to set them up again on the newly transferred or copied file. This is actually a feature designed to protect privacy—files aren't automatically shared with new accounts without your explicit action.

When you copy a collaborative Google document to your new account using the "Make a copy" method, the copy will be unshared by default. You'll need to open the new copy and re-share it with the same people who had access to the original. Access
